Classical KING serves a diverse audience of classical music lovers in the Pacific Northwest and beyond. In addition, the station services as a catalyst for the entire arts community as the primary resource for attracting and developing new audiences for classical music. Classical KING delivers a distinctive, community‑centered classical music service through three continuous channels. Everything the station offers is available free of charge on 98.1 FM radio which reaches all of the Puget Sound region as well as most of Western Washington and lower British Columbia. Streaming is available anywhere, anytime online through apps, smart speakers, and numerous digital platforms – this digital audience is growing exponentially.
The station is an independent nonprofit, and its operations are entirely supported by listener supporters, local foundation and government grants, and sponsors. Classical KING is co-located with Seattle Opera at Seattle Center, the cultural heart of the Pacific Northwest. With the largest reach, the most diverse audience, and the fewest barriers to access, Classical KING is a singular community asset.
Classical KING is seeking a dynamic and organized individual to join our team as an Office Manager. This is a new position created to provide support to the administrative and operations teams by coordinating a variety of office activities and work closely with the executive team and our board of directors in an executive support capacity. The successful candidate will have a willingness to help out with a wide variety of tasks across different teams. This full-time position reports directly to the Chief Operating Officer and requires someone to be in the office Monday to Friday.
Job Responsibilities
● Serve as the point of contact for internal and external clients.
● Handle incoming and outgoing communications, including phone calls, emails, and mail.
● Sort and route incoming mail to correct departments or staff.
● Provide administrative support to senior management including tasks such as calendar management and expense report processing.
● Schedule and coordinate meetings, appointments, and travel arrangements for the organization’s leadership team.
● Prepare and edit correspondence, reports, memos, forms, and presentations.
● Welcome visitors and direct them to the appropriate person or office.
● Oversee and coordinate office administrative procedures including reviewing, evaluating, and implementing new procedures.
● Manage office supplies inventory, anticipating needed supplies, placing, and expediting orders for supplies.
● Maintain a safe, secure, clean and pleasant work environment.
● Responsible for coordinating all maintenance needs directly with Opera facilities.
● Assists with accounts payable functions by downloading invoices, printing, working with senior managers to approve invoices, scanning invoices and preparing for disbursement.
● Assist in recording AR and AP in financial system QuickBooks Online.
● Organize and maintain Accounts Payable vendor files.
● Maintain office files and records, ensuring they are up-to-date and properly managed.
● Provide oversight and management of the station volunteer program.
● Board administrative support including preparing board meeting packets, taking meeting minutes, board portal management, calendaring, and additional meeting support.
● Event planning for special staff and board gatherings (i.e. holiday party, summer social, etc.).
● Ensure data integrity and confidentiality.
● Other duties as assigned, including occasional support for the advancement and programming team events.
Required Qualifications
· 2+ years of prior experience in an office management or similar administrative or executive administrative position.
· Intermediate proficiency with MS Office (Excel, Word, PowerPoint).
· Prior experience using QuickBooks Online.
· Excellent organizational and time management skills.
· Ability to work effectively in a small, diverse team environment.
· Ability to communicate effectively and timely in writing and verbally with all levels of staff, program partners, and others.
· Strong attention to detail and problem-solving skills.
· Demonstrated ability to prioritize work and coordinate with multiple teams.
· Flexibility to work with multiple stakeholders on a variety of projects.
· This is a full-time, on-site role requiring presence in the office Monday through Friday.
Desired Qualifications
· A degree in Business Administration, bookkeeping certification or experience in related field.
· Certification in office management or office administration.
· Any of the following certifications: Certified Administrative Professional (CAP), Microsoft Office Specialist (MOS), Project Management Professional (PMP).
